Time Commitment

  • June 15 2010 – 11 Oct 2010 – Planning period – 2- 8 hours per week
  • 12 Oct 2010 – 7 Apr 2011 – Pre-Yuri’s Night – less than 16 hours per week
  • 8 Apr 2011 – 17 Apr 2011 – Yuri’s Night week – as many hours as you can spare
  • 18 Apr 2011 – 30 May 2011 – Post-Yuri’s Night – less then 6 hours per week

Requirements

  • Written and spoken English is required.
  • Regular and reliable internet access.
  • Ability to read email daily is essential.
  • Conference calls (US dial in numbers) once a week.
  • Good communication skills and an ability to delegate tasks.
  • All positions require hard work, late phone calls, and absolute commitment.
  • You are responsible for fulfilling, in a timely manner, any task you take on.
  • You can also support any committee position as part of their team.

Duties and Responsibilities

1. Executive Director

  • Overall project management
  • Creation of timeline
  • To be accountable for all teams’ output
  • Maintain morale of the teams
  • Devise overall strategy in consultancy with the executive committee
  • Keep full Space Generation community (mentors, alumni, supporters) up to date and included with quarterly updates and requests for help

2. Assistant Director (2)

  • Liaison with all organizers
  • Ensure timely completion of all tasks
  • Ensure timely completion of tasks by sub-committees, through each team manager/coordinator
  • Create an agenda for each meeting and mail it out in advance of the meeting
  • Look to build in opportunities for Yuri’s Night 2012
  • Lead phone calls and meetings

3. Director of Event Relations

(Manager and Team Member positions are both available.)

  • After Yuri’s Night, write report on global events and award prizes to best events
  • Answer event organizer inquiries
  • Ask event managers for periodic updates in their events’ plans
  • Confirm participation of cities with events in previous years
  • Coordinate with Regional Representatives to increase regional event participation
  • Design Yuri’s Night Party Starter Kit
  • Liaise with event managers, regional leaders
  • Mail any physical party kit materials
  • Manage event registration process
  • Recruit new events and register them on the official website

4. Director of Finance

  • Banking: Receipt of all incoming funds, issue receipts, record payments
  • Consolidation of budget after Yuri’s Night
  • Coordination with all Executive Team Directors on fiscal matters
  • Creation of Yuri’s Night 2011 budget
  • Invoicing sponsors and donors
  • Issue payments, settle accounts
  • Processing event registration payments
  • Written references with contact details are required

 

5. Director of Marketing

Manager and Team Member positions are both available.

  • Responsible for overseeing all fundraising issues
  • Overseeing the updating/modification of fundraising pack
  • Identification of key sponsors
  • Managing others who are contacting sponsors, ensure process is completed
  • Following up with previous sponsors
  • Main point of contact for sponsors, Liaison & PR
  • Receiving payments or in-kind donations
  • Obtaining sponsor materials for Party Starter Kits (pens, stickers, flyers), and digital versions of logos to be included in materials and online.
  • During Yuri’s Night events: welcoming of sponsors & display of sponsor logos
  • After Yuri’s Night: sending thank you letters & follow up

 

6. Director of Media Relations

Manager and Team Member positions are both available.
  • Write and distribute press releases worldwide
  • Follow up with press to ensure publication
  • Coordinate media interviews (print, radio and TV)
  • Find people to write the necessary material
  • Find people to do the interviews
  • Assist Event Relations team with collecting individual party info
  • Work with individual party managers to assist with garnering local press
  • Coordinate press check in and events during Yuri’s Night
  • Work with News Editor to monitor and collect all media references to YN

 

7. News Editor

  • Coordinate entries on the Yuri’s Night Blog (both press releases and Executive Team entries)
  • Recruit Executive Team members and party managers to write blog entries
  • Work with the Webmaster to decide best way of publicizing YN press on website
  • Write monthly newsletter on Yuri’s Night developments to be sent out over mailing list

8. Director of Space Community Relations - US

  • Communicate with SGAC, SEDS, ISU, NSS, Planetary Society, AAS, AIAA, Space Foundation, Mars Society, space and science centers, Challenger centers, ASE, etc.
  • Act as point of contact with space agencies and governmental bodies
  • Good will and PR
  • Write emails for domestic advertising
  • Write other recruitment materials
  • Work closely with other Space Community Relations Directors
  • Distribute Yuri’s Night promotional materials at other space events
  • Good diplomacy required.
  • Good understanding of Yuri’s Night history, philosophy, and goals required.

9. Director of Space Community Relations – International

  • Communicate with SGAC Point of Contacts in each country, SGC delegates, SEDS international, ISU alumni, Mars Society chapters abroad, space and science centers, ect
  • Act as point of contact with space agencies and governmental bodies
  • Good will and PR
  • Write emails for worldwide advertising
  • Write other recruitment materials
  • Find news groups, space websites, email lists, forums in which to advertise
  • Work closely with other Space Community Relations Directors
  • Coordinate participation of other groups
  • Distribute Yuri’s Night promotional materials at other international space events
  • Good diplomacy required.
  • Good understanding of Yuri’s Night history, philosophy, and goals required.

 

10. Director of Space Community Relations- Social Media

  • Communicate with blogs, websites, podcasts, Facebook, YouTube, Wikipedia, Second Life, ect
  • Find news groups, space websites, email lists, forums in which to advertise
  • Good will and PR
  • Write emails for worldwide advertising
  • Write other recruitment materials
  • Find news groups, space websites, email lists, forums in which to advertise
  • Work closely with other Space Community Relations Directors
  • Good understanding of Yuri’s Night history, philosophy, and goals required.

 

11. Director of Awesome

  • Maintain Basecamp task management
  • Keep team on task and on schedule
  • Take minutes during teleconferences
  • Distribute minutes and action lists.
  • Prepare cover letters for out going communications
  • After Yuri’s Night, send thank you and follow up letters
  • Keep web mailing list and user lists up to date

12. Director of Swag

  • Decide what merchandise Yuri’s Night will invest in
  • Research best value options
  • Order items, or arrange to make them available through an online vendor
  • Make select items available on our own website
  • Organize shipping of elements to event organizers as needed
  • Setting up partnerships with outside donors and merchandising partners (ThinkGeek and Snoopy)
  • Other duties as assigned

13. Web Strategist (filled – Web Team Member positions available.)

  • Overseeing all web projects
  • Manage the web team to allow for support with site maintenance and upkeep
  • Knowledge of HTML and PHP essential.
  • Please send links to previous work

14. Webmaster (Webmaster and Web Team Member positions available.)

  • Upgrade website to new design
  • Responsible for all web updates
  • Manage the web team to allow for support with site maintenance and upkeep
  • Liaise with News Editor and other Executive Team members to keep content up-to-date
  • Knowledge of HTML, WordPress and PHP essential.

15. Webcast Manager

(Webcast Manager and Webcast Member positions are both available.)

  • Research range of inter-party connectivity options available
  • Work with Marketing to solicit in-kind sponsorship of connectivity
  • Arrange to have all the hardware needed
  • Manage “simulation” meetings to as dry runs during months leading up to YN
  • Create a how-to guide for parties that want to broadcast from their events

16. Zero-G Sweepstakes Manager

  • Negotiate for Zero-G seat
  • Work with Director of Marketing to obtain sponsor
  • Promote and publicize the sweepstakes around the US
  • Sell tickets and manage selection and notification of the winner
  • Work with Director of Media Relations to send out press release

 

17. Art Director/Graphic Designer

Manager and Team Member positions are both available.

  • Ensure consistent appearance of Yuri’s Night art and communications
  • Develop website banner concept
  • Updating brochures
  • Layout and design
  • Image editing for website
  • T-shirt design
  • Updating of the Press pack and the sponsor pack and glossy show cards.
  • Experience with and access to graphic software products a plus

 

18. Art Program Manager

(Manager and Team Member positions are both available.)

  • Build a Yuri’s Night Art Program
  • Solicit donors
  • Solicit participating artists
  • Build relationships with Museums to host exhibitions in 2011
  • Solicit art partnerships

19.   Regional Representatives (Europe, Africa, Asia, Latin America, Australia/NZ, Canada)

  • Build Yuri’s Night participation in your region
  • Coordinate recruitment efforts with Director of Event Relations

20. Translators

  • Translate core Yuri’s Night materials (logos, about info and invitation to participate into local language)
  • Translate additional news updates as necessary
